The Library is one place for the data you'll reuse across every project — unions, contracts, positions, glossary terms, and more. Set it up once and it travels with you.
What is the Library?
- One place for reusable data. Define unions, contracts, positions, expense presets, glossary terms, and contacts once — use them across every project.
- Hierarchy: Union Local → CBA(s) → Fringe Items. Each Local can have multiple CBAs, each CBA has its own fringe rates.
- Library data syncs across all your devices via iCloud and travels with project backups.
Union Locals
- Create a Union Local — name it (e.g. "IATSE Local 728") and set the Local number. The Local is what H&W qualifying hours roll up to.
- Quarterly threshold — set the H&W qualifying hours per quarter (most Locals use 300 or 400 hours).
- Custom quarter start — if your Local uses non-calendar quarters (e.g. fiscal year start in April), set the custom start month.
- Hours from any project assigned to this Local count toward its quarterly tracker, regardless of which CBA the work was under.
CBAs (Collective Bargaining Agreements)
- A CBA is a contract under a Local. Each Local can hold multiple CBAs (e.g. "Episodic TV 2024–27", "Theatrical Film 2023–26", "Live Touring 2025").
- Employer scope — describe what employers this CBA covers. Surfaces in the picker so you can find the right contract quickly.
- Assign multiple CBAs to a client — touring crews under one client may work multiple contracts simultaneously. The client form has a multi-select picker.
- Per-project CBA override — if a project is unusual (a one-off film day under a different agreement), assign a different CBA on the project itself.
- Per-shift override — rare-use, for a single sub-call under another agreement. Set on the shift detail screen.
Fringe Items
- Per-CBA contributions — Health & Welfare, Pension, Vacation, Annuity, etc. Each one is a fringe item attached to a specific CBA.
- Two rate types: dollar-per-hour (e.g. $7.50/hr H&W) or percentage of base (e.g. 12% Pension).
- Frozen at clock-out — the app saves a snapshot of the active fringe items each shift, so editing fringe rates later does NOT silently rewrite past quarters' totals.
- Changes to a CBA's fringe items prompt a re-snap dialog if you have completed shifts under that CBA. "Going forward only" is the safe default.
Positions
- Reusable role + rate combos — e.g. "Head Electrician @ $69.08/hr", "Travel Day @ $52/hr", "Stagehand @ $45/hr".
- Per-shift selection — pick a Position when you clock in. The Position's hourly rate becomes the shift's rate.
- Switch mid-day — clocking out and clocking back in with a different Position handles role changes within a day (load-in vs. show vs. travel).
- Tour travel days — create a "Travel Day" Position with a 0.75× or 0.5× rate. Pick it on travel days for automatic rate adjustment.
Presets — Tags & Expenses
- Tag Presets — common tags ("night", "rain", "hold-over") for fast tagging on shifts and scheduled bookings.
- Expense Presets — common expense categories with default amounts (e.g. "Parking — $20", "Per-Show Lunch — $25"). Tap to add to a project.
- Built-in presets — the app ships with common ones; you can hide or customize any of them.
Contacts & Locations
- Contacts — production managers, client billing contacts, vendor reps. Attach to clients or specific projects.
- Locations — saved venues, soundstages, recurring loadout addresses. Pick from saved locations when creating a project to skip re-typing.
- Glossary Terms — define jargon (e.g. "6th day", "turnaround", "per diem") at the client level so terminology stays consistent across your contracts.
Tips
- Setup once, reuse forever — invest 10 minutes filling in your unions and CBAs and you'll skip those steps on every future project.
- Search by employer scope — when picking CBAs for a client, the picker shows the scope under each CBA name to help find the right one.
- Locked CBA assignments — once a shift is clocked-out, its fringe snapshot is frozen. Changing a CBA later prompts you about historical re-snap.
- iCloud sync — Library entries sync across iPhone, iPad, and Mac automatically (Advanced subscription tier).
