Scheduling

Plan upcoming work, manage holds, and sync to your calendar.

The Schedule tab is where bookings go before they become shifts. Think of it as your "what's on the books" view — call times, hold dates, and confirmed work all in one place.

Booking a Shift

  • Quick Book — tap the + button on the Schedule tab to add a new booking. Set call time, project, position, location, and optional notes.
  • Booking Status — five states: Avail Check (⏳), Hold (📌), 2nd Hold (📋), Confirmed (✓), and Cancelled (❌).
  • Estimated Hours — set how long you expect the shift to run for earnings projection.
  • Travel Day — flag bookings that should apply your travel-day rate multiplier.
  • Per Diem — toggle inclusion per booking.
  • Lobby Call — set an earlier time for hotel lobby pickup if it's different from the on-site call time.

Schedule Views

  • Weekly view — default. See the current week with day cards showing call times.
  • Monthly view — calendar grid with dots indicating booked days. Tap a day for details.
  • Filter by status — show only confirmed bookings, or include holds and avail checks.
  • Tap a booking to view details, edit, or convert to an active shift on call day.

Calendar Sync

  • EventKit integration — Wrap Times can write bookings to your iOS / macOS Calendar app as native events.
  • Title format — confirmed bookings get a ✓ prefix; holds get 📌, etc., so the calendar shows status at a glance.
  • Two-way — events are created when you book and updated when you change status. Cancelling a booking removes the event.
  • Shift sync at clock-out — completed shifts overwrite the calendar event with actual times so your calendar reflects what really happened.
  • Permission — grant Calendar access in Settings → Wrap Times the first time you enable sync.

Notifications & Reminders

  • Pre-call reminders — get a notification before each booking. Configurable offset (15 min, 1 hr, 1 day, etc.).
  • Missed-call notification — if a booking's call time passes and you haven't clocked in, the app pings you.
  • Auto-cancellation — clocking in cancels the missed-call notification for that booking automatically.
  • Per-project reminder rules — set custom reminder offsets at the project level.

Tags & Notes on Bookings

  • Tags carry forward — tags set on a booking auto-apply to the shift when you clock in.
  • Notes — free-text for any context (parking codes, contact names, gear list).
  • Time zone — auto-set from project location, or pick manually for tour stops crossing zones.

Tips

  • Book holds early — track soft holds while you're still negotiating. The status field tells you which gigs are firm.
  • Use Avail Check for "do you have May 12?" queries. Convert to Hold once you commit.
  • Active shift on schedule — once you clock in, the schedule card shows live timer and "IN PROGRESS" status.
  • Bulk schedule — for multi-day tours, the bulk-add flow lets you select a date range and create bookings for every day at once.
